Mobile device inventory
Track, search and export the tablets and smartphones synced from Microsoft Intune
Mobile devices (iOS, iPadOS and Android tablets and smartphones) join workstations under Infrastructure › Devices. Kabeen syncs them automatically from Microsoft Intune: you get your mobile fleet, linked to its users, without any manual data entry.
Where the devices come from
Mobile devices come from your Microsoft Intune MDM, connected from Settings › Integrations (see Connect Microsoft Intune).
- Kabeen syncs iOS, iPadOS and Android devices about every 30 minutes. Windows and macOS devices managed by Intune are not synced: your computers are listed as workstations by the user agent.
- Access is read-only: Kabeen cannot change, lock or wipe your devices.
- A device is never deleted from Kabeen. When Intune no longer reports it, when the integration's filters exclude it or when the integration is disconnected, it stays in the inventory with the No longer managed status.
Opening the list
- In the side menu, hover over Infrastructure, then choose Devices.
- Open the Mobile devices tab, next to the Workstations tab.
A counter shows how many mobile devices match your search and filters.
As long as no MDM is connected, the list invites you to connect your MDM via an integration in the settings, with an Add an integration button.
Accessing mobile devices requires the Read permission on the Devices resource (see Roles and permissions).
Exploring the list
Columns
| Column | Content |
|---|---|
| Name | The device name, with its operating system and version underneath. A dot shows whether it is Managed or No longer managed |
| Model | The device model |
| Type | Smartphone, tablet or other |
| User | The user the device is assigned to in Intune |
| Serial number | The device's serial number |
| Storage | How full the storage is, with a progress bar |
Other columns can be shown from the ⋮ › Choose columns menu: Compliance, Ownership, IMEI, User email, Enrolled on, Last MDM check-in, as well as your custom fields.
Searching
The Search a device field looks in the name, model, serial number and user (name or sign-in name). A search of at least six digits also looks in the IMEI.
Filtering
The Filters button offers the following criteria:
- Type: Smartphone, Tablet or Other;
- OS, Manufacturer and Model;
- Status: managed or no longer managed devices;
- Seen by the MDM: last 30 days, last 90 days, last 12 months or all time;
- your custom fields.
By default, the list only shows the devices seen by the MDM in the last 30 days. To find an older device, widen the Seen by the MDM filter.
Exporting
Open the list's ⋮ menu, then Export to .CSV or Export to .XLSX. The export contains the devices that match your search and filters.
You can also export every device, whatever its status and last sync date, from Settings › Export, Mobile devices card (see Exporting inventory data).
The export holds more information than the device's details: ownership, supervision, jailbreak or root, enrolment type and profile, device category, Android security patch level, and your custom fields. Column headers are technical names (for example serialNumber or complianceState).
A device's details
Click a row to open the device's details in a side panel. The header shows its name, operating system and version.
Indicators
- Encryption status: Active or Inactive, at the last collection;
- Compliance: Compliant, Not compliant, In grace period or Error, according to your Intune compliance policies;
- Collection status: Active as long as the device is managed, with the date of the last sync.
Informations
The Informations section groups the data reported by the MDM, read-only: Manufacturer, Model, OS, Version, Type, Enrolled on, IMEI and Serial number (with a copy button).
Used storage
The Used storage gauge shows the space used and the total capacity, in GB. When Intune doesn't report these values, which is always the case for Android, the details say "Not reported by Intune for this device."
User
The User card shows the name, sign-in name and email address of the device's user. When Kabeen recognises this user, a click opens their page. Otherwise, the card says "No match found for the user reported by Agent Kabeen."
Custom fields
You can add your own fields to mobile devices (text, single choice, multiple choice or date), for example an asset number or a site.
- Open a device's details.
- In the Informations section, open the ⋮ menu, then choose Add a custom field. The same menu lets you Edit a custom field and Reorder fields.
- Fill in the field's value for each device, directly in its details.
A custom field applies to every mobile device. It can also be shown as a column, used as a filter and included in exports.
Creating or editing a field requires the right to change the workspace settings (for example with the Owner role). Filling in its value on a device requires the Edit permission on the Devices resource.
Global search and user page
- Global search: mobile devices have their own section, Mobile devices. The search looks in the name, user, serial number, manufacturer and model, including devices that are no longer managed. Clicking a result opens the device's details.
- A user's page: in the Overview tab, the Devices section lists their workstations, then their mobile devices; each one opens with a click. In the user list, the Devices column sums them up.
Kabeen links a device to a user when the sign-in name reported by Intune matches a single user known to Kabeen. Only devices seen in the last 30 days are linked. A user who only has a mobile device, and no workstation running the user agent, does not appear in the user list.
Good to know
- No manual editing. Intune's data cannot be changed in Kabeen, and a device cannot be deleted: only custom fields can be edited.
- Delayed data. The details reflect the last sync with Intune, which happens about every 30 minutes.
